Terms and Conditions of Service
These are the official legal documents used wherever Volare Manager requests acceptance.
1. Acceptance
By creating an account, purchasing a plan, requesting a demo, using the portal, or accessing Volare Manager, the company, its owner, administrators, agents, and users accept these Terms, the Privacy Policy, the Data Processing Agreement, and the Acceptable Use Policy in effect at the time of use.
2. Nature of the Service
Volare Manager is a SaaS platform for travel agencies. It helps organize clients, bookings, flights, invoices, payments, documents, calendar, notes, team access, chat, reports, branding, demos, backups, and integrations. Volare Manager is not an airline, GDS, consolidator, immigration authority, or official ticket issuing system.
3. License to Use
The company receives a limited, revocable, non-exclusive, non-transferable license to use Volare Manager during the paid period. The company does not acquire ownership of the software, source code, brand, infrastructure, designs, databases, integrations, templates, or technology.
4. Agency Responsibility
Each agency is responsible for the information it enters, quotes, sells, sends, invoices, or communicates to its clients. The agency must verify prices, availability, fare rules, visas, documents, passenger information, fees, changes, cancellations, and immigration requirements before selling or issuing any service.
5. Users and Permissions
The owner/admin of each company is responsible for creating users, assigning roles, protecting credentials, removing access when needed, and reviewing team activity. The platform is designed to separate information by company, but each agency must protect its own users and credentials.
6. Client Data and Documents
The agency confirms that it has legal authorization to upload personal data, passports, visas, travel documents, phone numbers, emails, payments, invoices, and other client documents. Volare Manager processes this data to provide the service and does not sell it to third parties.
7. Billing and Payments
Plans may include setup fees, monthly fees, annual fees, add-ons, or additional services. Non-payment may result in temporary suspension or restricted access. Reactivation may require payment of outstanding amounts. PayPal or other payment methods may generate automatic invoices and setup links.
8. Demos
Demos are temporary, non-production access sessions. They may include fictional sample data. Demo users may view and interact with the system but may be prevented from saving, deleting, purchasing, issuing, or modifying real information. Demo access may expire automatically.
9. AI Assistant
Javi or any AI assistant is an operational support tool. Its responses are suggestions and must be reviewed by the agency. The agency remains responsible for final decisions, communications, bookings, documents, prices, and client-facing information.
10. Integrations and Third Parties
Volare Manager may connect with external providers such as hosting, email, PayPal, Google Drive, APIs, AI services, maps, flight data, hotel data, or other third-party services. Volare Manager is not responsible for outages, data changes, pricing changes, restrictions, delays, or errors caused by third parties.
11. Backups and Availability
Volare Manager may provide backups and reasonable continuity measures, but no system is infallible. The company should report incidents and maintain good operational practices.
12. Prohibited Use
The system may not be used for fraud, unauthorized documents, false ticket sales, accessing another company's data, attacks, scraping, malware, spam, impersonation, unauthorized resale, or any illegal activity.
13. Suspension and Termination
Volare Manager may suspend or terminate accounts for non-payment, abuse, security risk, illegal use, violation of terms, or attempts to access third-party information. Suspension does not necessarily mean immediate deletion of data.
14. Intellectual Property
Volare Manager, its brand, design, code, documentation, workflows, templates, automations, and technology are owned by their respective owners. The company retains its own data and content.
15. Limitation of Liability
To the maximum extent permitted by law, Volare Manager will not be liable for indirect losses, lost profits, sales errors, immigration decisions, airline changes, third-party failures, lost opportunities, incorrect use of the system, or information entered by the agency.
16. Updates
Volare Manager may update these Terms. When a new version is published, owners/admins may be required to accept it before continuing to use the platform.
